Recruit 360 Jobs privacy notice

Recruit 360 Jobs hosts the careers pages, job adverts, applications and registrations of recruitment agencies. It is operated by Idealweb (Pty) Ltd (“we”). This notice explains how we handle your personal information when you apply to, or register with, an agency through a page or form we host for it. It adds to the agency's own privacy information and does not replace it. Recruit 360 Jobs is for people of 18 and over.
Who is responsible
The agency. The agency you apply to or register with is the responsible party under the Protection of Personal Information Act (POPIA) for its recruitment records about you and for its decisions, including whether to consider you for a position, whom it sends your details to and how long it keeps them. The page and the form you use name the agency. We host those records and process them for the agency, on its instructions.
Us. We are the responsible party for your sign-in and the account it opens, for the job alerts we send you, and for the security and running of this site.
What we collect
What you give us. Your name, email address, cell number and location, and what you add to your profile, such as the work you are looking for, your salary expectation and your notice period.
Your CV and the profile built from it. Work history, education, skills and languages.
Your activity. The applications and registrations you make, the jobs and searches you save, your alerts, and a record of what you agreed to and when.
Technical information. Network address, device and browser type, the pages requested, and cookies (see Cookies and analytics).
From agencies. Information about an application you made, such as its status.
To apply or register we need your name, an email address you can confirm and your agreement on the form. An application usually also needs a CV, and an agency may ask questions of its own. The rest is your choice. Without what is required we cannot send your application or registration to the agency.
A CV often holds more than we ask for, such as an identity number, a photograph or the details of referees. Please leave out sensitive information a job application does not need, for example about your health, religion or beliefs, and include other people's details only with their knowledge. What you do include is handled as part of your CV, for the purposes below.
Why we use it
We use personal information to create and run your account; to send your applications and registrations to the agency you choose; to host and process agencies' recruitment records on their instructions; to send the job alerts you have asked for; to secure and support the service and prevent abuse; to measure and improve it; and to comply with the law and deal with disputes and legal claims.
We do this to provide the service you have asked for, with your consent where we ask for it, to meet our legal obligations, and where it is in our legitimate interests or those of an agency looking to fill a position. An agency decides the grounds for its own processing.
Automated tools
We use automated tools, including language models, to read your CV into a profile, to interpret what is typed into a search box and to match jobs with profiles. You can correct your profile in your account. We do not decide who is shortlisted, interviewed or hired. Agencies make those decisions. They may use automated tools, including tools we provide to them, to screen and score applications against criteria they set, and an application may be advanced or declined on that basis; ask the agency how an application is assessed.
Who can see your information
The agency you apply to or register with receives your profile, your CV and your contact details. While your account is open, it may also be shown changes you make to your profile or your CV.
Recipients the agency chooses. An agency may send your details to its client, the employer, or to others, under its own privacy terms. Those disclosures are the agency's; ask it about them.
Other agencies. Agencies are kept separate. An agency is not shown your profile through Recruit 360 Jobs unless you apply to or register with it, and we do not pass one agency's applicants or registrations to another agency.
If you created your profile on our own registration page rather than through an agency, the visibility setting on your profile applies instead. Depending on that setting, other agencies and employers that use our services may be able to find your profile and, with authorised access, open your details. You can change the setting in your account.
Our staff and service providers have access where that is needed to run, support and secure the service. We may also disclose information where the law requires it, or where that is necessary to protect our rights, our users or the service. We do not give your information to advertisers or marketing companies.
Profiles are not public web pages and are not made available to search engines.
What has already been received. Withdrawing an application, changing a setting or deleting your account applies from then on. It does not recall what an agency has already received, downloaded or passed on. Your account lists the agencies that received your details through Recruit 360 Jobs (Agencies and my details).
Service providers and processing outside South Africa
Your account, your CV file and our backups are hosted in South Africa. Some of our service providers process information in other countries, mainly the United States and, for some functions, the United Kingdom and the European Union:
Language-model and text-analysis services receive the contents of your CV and what is typed into a search box, and support the matching of jobs with profiles.
A network delivery and security service carries the traffic between your browser and this site.
An analytics service measures how the site is used (see Cookies and analytics).
Mapping services look up the place names typed into a search.
Those countries may not have data protection laws equivalent to POPIA. Where a provider receives personal information, we rely on our agreement with it or on its binding terms of service, which govern how it may use what we send. We may change providers, and we update this notice when the kinds of provider or the countries involved change materially.
How long we keep it
Your account and profile are kept while your account is open. We may close accounts that have not been used for an extended period.
Job alerts set up with an email address alone are kept until you stop them, or until they have gone unused for a period.
When you delete your account we remove your profile, your CV, your saved jobs and your saved searches from the live service. We keep limited records where we have a lawful reason to: evidence of what you agreed to and of the deletion, a record of which agencies received your applications and registrations and when, email delivery and unsubscribe records, and security logs. We keep these to show that we acted lawfully, to deal with queries, disputes and legal claims, and so that we do not contact you again after you have asked us to stop.
Records an agency holds, including those we host for it, are kept under the agency's own policy and its instructions to us. Deleting your account does not delete them. An agency may also keep copies outside our systems, which we do not control.
Backups are kept for a limited period and then overwritten. Information deleted from the live service can remain in a backup until then.
Cookies and analytics
We use cookies that the site needs in order to work, for example to keep you signed in and to remember your cookie choice. If you accept it, a cookie also records which job site referred you, so that the agency can see where you found the vacancy.
We use Google Analytics to measure how the site is used: the pages viewed and their addresses, which can include the words typed into a search, the site a visitor came from, the type of device, an approximate location, and whether a visit led to a registration or an application. We do not send Google your name, your email address or your CV. Depending on where you are visiting from, analytics is either on until you switch it off or off until you accept it; the cookie notice shows which applies, and you can change your choice in the cookie settings at any time.
We do not use advertising cookies on Recruit 360 Jobs. Browsing or searching without an account does not create a profile.
Job alerts and email
We send the job alerts you have asked for, and messages about your account, your applications and your registrations. Job alerts cover the vacancies of agencies that can already see your profile; receiving one does not make your profile visible to another agency. Alert emails carry a link to stop them. If you unsubscribe, we keep a record of that so that we can respect it.
An agency's careers page or website may also offer job alerts by email. We send those on the agency's behalf, for that agency's jobs, after the address has been confirmed.
Security
We use technical and organisational measures appropriate to the information we hold, including encrypted connections, access controls and limiting staff access to what a role requires. No online service can be guaranteed to be secure. If your information is compromised, we will notify you and the Information Regulator as the law requires.
Your rights
An agency's records. For the records an agency holds about you, including those we host for it, contact the agency: to ask what it holds, to have it corrected or deleted, to object to how it uses it, or to withdraw a consent you gave it. We assist the agency and act on its authorised instructions.
Our processing. For your account, our alerts and our other processing, you may ask us whether we hold information about you and for access to it; ask us to correct or delete it; object, on reasonable grounds, to how we process it; object to direct marketing; and withdraw a consent you have given us. Withdrawing consent does not affect what was done before it, or processing that rests on another lawful ground. We may need to confirm who you are, and the law allows or requires us to refuse or limit some requests, for example where we have to keep a record.
In your account you can download a copy of your main account information, edit your profile, manage alerts and delete your account. Where it is available for an agency, you can also withdraw an application, withdraw your consent from that agency or ask it to delete what it holds. These are different requests: withdrawing an application tells the agency that you are no longer a candidate for that position; withdrawing consent asks it to stop the processing that relies on your consent; a deletion request asks it to delete its records. We pass each request to the agency, and the decision on it is the agency's.

We may update this notice. The date at the top shows the current version, and a change that matters will be pointed out on this page.
