About the role
South African citizens only. Permanent vacancy. Full-time onsite in Alberton (NO hybrid or remote work). Travelling: Must be prepared to travel to Troyeville in JHB CBD and sites across Gauteng region and other regions within South Africa (on ad-hoc basis). A minimum of 3 to 4 years’ experience is required as Project Admin in the Telecoms / ISP / Fibre / Construction / Infrastructure Projects industry. Must have a valid driver’s license and own car. Clean ITC/credit record and no criminal record. Reference: Project Admin (Telecoms) TB Salary package: CTC market-related and negotiable (depending on the candidate’s skills, experience & qualifications). First 3 months of probation period includes only the basic salary. After the 3-month probation period compulsory benefits kick in namely Discovery Key Core Plus medical aid (50% employee contribution & 50% employer contribution) and the Group Life Cover which is 100% paid by the employer.
Travelling involved:

Main job functions:
- Recruiting a highly organised and detail-oriented Project Administrator to provide administrative and coordination support to the project team within a fibre telecommunications environment.
- The successful candidate will be responsible for maintaining project documentation, administering SharePoint project folders, coordinating project correspondence and calendars, and providing general administrative support to ensure projects run efficiently and that information is accurate, accessible and up to date.
Job functions:
- Provide day-to-day administrative support to Project Managers and project teams.
- Assist with the preparation, organisation and maintenance of project documentation.
- Maintain accurate project records and ensure documentation is filed correctly.
- Assist with project reports, trackers, schedules and status updates.
- Prepare meeting agendas, minutes and action lists where required.
- Follow up on outstanding project actions and provide updates to the Project Manager.
- Assist with general project-related administration as required.
SharePoint & Document Management:
- Create and maintain project folders and document structures within Microsoft SharePoint.
- Ensure project documents are correctly named, filed and version controlled.
- Manage access and permissions in accordance with company procedures.
- Maintain document registers and ensure project documentation remains current.
- Assist project teams with locating and retrieving required documentation.
- Ensure that obsolete or superseded documentation is appropriately archived.
Client & Contractor Correspondence:
- Manage and distribute project-related correspondence.
- Communicate professionally with clients, contractors, suppliers, communities and internal stakeholders.
- Prepare and send project-related emails, notices and documentation.
- Maintain records of important correspondence and approvals.
- Follow up on outstanding information or documentation from contractors and stakeholders.
- Escalate urgent or unresolved matters to the relevant Project Manager.
Project Calendar & Meetings;
- Maintain and administer project calendars.
- Schedule project meetings, site meetings and stakeholder engagements.
- Coordinate meeting invitations and attendance.
- Track important project dates, milestones and deadlines.
- Assist with coordinating site visits and contractor meetings.
- Ensure project teams are kept informed of changes to schedules.
Fibre Project Support:
- Assist with the administration of fibre rollout and infrastructure projects.
- Maintain records relating to sites, contractors, project activities and deliverables.
- Assist with organising site documentation, drawings, reports and approvals.
- Support the Project Manager with contractor documentation and project records.
- Assist with tracking project progress and outstanding actions.
- Maintain project trackers and spreadsheets.
- Assist with project handover and close-out documentation.
What they're looking for
- A minimum of 3 to 4 years’ experience is required as Project Admin in the Telecoms / ISP / Fibre / Construction / Infrastructure Projects industry.
- Matric/Senior Certificate.
- Advantageous: Relevant Project Management / Administration qualification.
- Understanding of FTTH/FTTB fibre rollout projects.
- Experience with project management software or systems.
- Knowledge of fibre project documentation, site plans or construction processes.
- Strong Microsoft Office skills, particularly Microsoft Excel, Word and Outlook.
- Solid work experience with Microsoft SharePoint.
- Excellent written and verbal communication skills.
- Strong organisational and administrative skills.
- High level of attention to detail.
- Ability to manage multiple tasks and deadlines.
- Ability to work effectively with Project Managers, contractors, clients and internal teams.
